TL;DR — the 30-second answer
  • ✓n8n if GDPR and high volume matter and you have some technical know-how.
  • ✓Make if you want to orchestrate complex workflows visually and affordably.
  • ✓Zapier if you need to connect less common SaaS apps and non-technical team members need to build the workflows themselves.
  • ✓Power Automate, if you already use Microsoft 365—it is included at no extra cost.

The four tools at a glance

For each tool: strengths, weaknesses, pricing and the sweet spot — what it is really built for.

  • −Steeper learning curve than Zapier for complete beginners
#2

Make (formerly Integromat)

Visual drag-and-drop canvas

Origin

Which tool fits which scenario?

Six typical profiles from real small-business projects, with a recommended tool for each.

If you are

Small business with GDPR requirements and 50+ workflows

Recommendation
n8n (self-hosted)

Full control over data, no per-task limit, and can be set up on a Hetzner or Hostinger VPS in about two hours. The source estimates a return on investment within 2–3 months compared with Zapier.

If you are

Solo business with 5–10 workflows

Recommendation
Make Core ($9/month)

Use the free tier to test it, then the Core plan covers most use cases. It is cheaper than Zapier for a similar feature set.

If you are

Non-technical team with less common apps

Recommendation
Zapier

Its 8,000+ app integrations are hard to beat. If your specialist app is not available in Make or n8n, Zapier may be the only option without custom code.

If you are

Business using Microsoft 365 or Dynamics

Recommendation
Power Automate

Often included in an existing licence, with deep integrations for SharePoint, Teams, Outlook and Excel. It is not usually the first choice outside the Microsoft ecosystem.

If you are

Startup with changing requirements

Recommendation
n8n (cloud)

Workflow-based pricing can scale with your usage. The source describes it as affordable at 2,500 executions and clearly cheaper than Zapier at 10,000 per month.

If you are

Agency managing 20+ client setups

Recommendation
n8n (self-hosted) + client cloud

Run an n8n instance for internal workflows and optionally use a separate cloud tenant for each client. This offers flexibility while keeping costs down.

FROM PRACTICAL EXPERIENCE

How we make this decision for client projects

When a small business comes to us, we ask three things in this order:

  1. What data flows through the system? — If personal data about applicants, customers or patients is involved, consider self-hosted n8n or Make. Use Zapier only with a data processing agreement and a careful risk assessment.
  2. How many workflows will you run over the next 12 months? — Fewer than 10: a cloud tool such as Make or Zapier may be enough. More than 10 at high volume: n8n may become more cost-effective.
  3. Who will maintain the workflows after launch? — If your team will manage them, Zapier has the gentlest learning curve. If a technical lead or agency will maintain them, n8n offers greater flexibility.

There is rarely one right answer. We often combine tools: n8n as the backbone for complex workflows, plus Zapier for quick five-minute integrations, when nobody wants to build a custom integration.

Frequently asked questions about these tools

Which workflow tool is the cheapest?
Self-hosted n8n can be very inexpensive: a €5 VPS is enough for many small-business workloads, but you need server skills. If you prefer a cloud service, Make’s $9 Core plan is the cheapest option described here. Zapier can become expensive at high volumes because it charges per task.
Which tool offers the most GDPR control?
Self-hosted n8n on an EU server gives you direct control over where data is stored. Cloud alternatives include n8n Cloud (Frankfurt), Make (Czech Republic) and Power Automate (selectable Azure EU region). Zapier requires a data processing agreement and may call for additional safeguards. Confirm the right setup for your own legal obligations.
What is the difference between a task, an operation and a workflow?
Zapier counts tasks: each step in a Zap counts as one task, so a five-step Zap uses five tasks per run. Make counts operations, usually one per module execution. n8n counts workflow executions, so a run counts as one execution regardless of the number of steps. This can make n8n less expensive for complex workflows.
Do I need programming skills?
No. A visual builder is enough for many workflows. Some JavaScript knowledge (n8n or Zapier) or JSONata (Make) can unlock advanced data transformations, custom logic and functions. Code can make a difference for more complex use cases.
Which tool is best for AI workflows?
All four offer AI features. n8n provides direct integrations for OpenAI, Anthropic and local LLMs. Make offers AI-focused apps and prompt tools. Zapier has AI actions and a natural-language builder. Power Automate integrates with Copilot. For AI-focused workflows, the source recommends n8n for control or Zapier for convenience.
What about vendor lock-in?
n8n: low — open source, with workflows exportable as JSON. Make: moderate — exports are possible, but moving to n8n requires rebuilding. Zapier: high — Zaps use a proprietary format. Power Automate: high, with dependence on the Microsoft ecosystem. If avoiding lock-in matters, consider n8n.
What happens if a provider discontinues its service?
With self-hosted n8n, you retain the code and can continue running it. n8n Cloud can be migrated to a self-hosted setup. With Make, Zapier or Power Automate, you may need to rebuild workflows in another tool. For business-critical processes, assess continuity and migration risk in advance.
Should I hire a specialist or can I do this myself?
One to five simple workflows are often manageable after some self-study. For ten or more workflows with branching, API integrations and error handling, a specialist may save considerable time. Architecture decisions — which tool to use, how to log activity and how to test — benefit from experience. We offer fixed-price projects for small and medium-sized businesses.
